How to create an annual maintenance plan for a data center
It is not about having many technical visits, but that each one has a purpose, scope, and follow-up.
In a data center, time does cost money. And maintenance is not an expense: it is an investment in continuity. But making an effective annual maintenance plan is not just putting visits on a calendar. It is necessary to prioritize equipment, define responsibilities, follow standards, and measure results.
1. Define critical assets
Your plan must start with a technical inventory. Divide your assets into:
- Power (UPS, ATS, generator, panels)
- Cooling (CRAC, CRAH, chillers, ventilation)
- Security (access, CCTV, detection/suppression)
- Connectivity (patch panels, switches, links)
2. Classify by priority and risk
Use an approach based on criticality. For example, a UPS without bypass is more critical than a CCTV camera.
Rely on TIA-942 or methodologies such as FMECA (Failure and Critical Effects Analysis).
3. Follow the manufacturer’s recommended intervals
Vertiv, Schneider, Eaton, Stulz, and APC publish minimum frequencies for maintenance. A monthly visual inspection is not the same as a functional load test.
4. Use normative references
- TIA-942: requires registered and traceable routines for all subsystems
- ASHRAE: defines operating standards for HVAC
- NFPA 70B: general guide for electrical maintenance
- ISO 20000 and ISO 27001: require documentation and evidence
5. Record, correct, and improve
Your plan must include logs, photographs, findings, pending tasks, and compliance KPI. If something recurs as a failure, adjust the frequency or focus of the maintenance.
